What is a CMMS? - Frequently Asked Questions

Q: What does CMMS stand for?
A: CMMS stands for computerized maintenance management system or computerized maintenance management software, which simply means software that is designed to help you organize, plan, track and simplify your maintenance operations.

Q: What is a CMMS used for?
A: CMMS software can be used for many things; however, it is mostly used to help you organize, plan, track and simplify your maintenance operations. This is done by facilitating the tracking of Work Orders (WOs), scheduling of preventive maintenance (PMs), receiving external work requestsmanaging assetsmanage part inventories and generating maintenance reports.

Q: How does a CMMS help Work Orders?
A: Work Order Management can become a complicated and unorganized undertaking without the right tools. A CMMS system helps you organize and track all of your Work Orders. You can see what work needs to be done, who needs to do it, how much time it took, how many parts were used, what invoices were involved and much more. Additionally, Work Orders can be tied to specific assets, creating data that is valuable when making critical business decisions such as if an asset should be replaced or allowed to run for another year.

Q: How does a CMMS help Preventative Maintenance?
A: The benefits of Preventative Maintenance are well-known facts: longer equipment life, less energy consumption, fewer production delays, and much more. However, getting a PM program established and in place can be a daunting task. A CMMS maintenance software will help you perform this by creating a platform where you can automatically schedule work months or even years into the future. The planned work is automatically generated for the right person, and reminders are automatically sent out. Additionally, all of the PMs are tracked so you know how much time they are taking and if they are being done on time.

Q: How does a CMMS help Work Requests?
A: Without CMMS programs, Work Requests happen in a very manual and time intensive way, and usually do not have a procedure for requester follow up. Phone calls or emails to the maintenance team take up precious time and effort that is better spent elsewhere. A CMMS system automates this process by allowing anyone within your organization to submit a Work Request, which is automatically delivered to the right maintenance team member. When the work is completed, the person who requested the work receives notice that it has been completed, along with completion notes.

Q: How does a CMMS help track Asset History?
A: CMMS systems enable you to track anything you deem valuable for a given asset. You can track Work Orders, Preventative Maintenance, Predictive Maintenance, labor costs, parts costs and more. Additionally, you can attach manuals, PDFs, serial numbers and any other piece of information you need recorded. This establishes an extensive repository of information for each asset, arming with you with necessary information needed for critical business decisions.

Q: How does a CMMS help manage Spare Part inventories?
A: CMMS systems allow you to keep a running inventory of critical parts or tools that are needed for your maintenance operations. Parts are integrated with work orders and preventive maintenance so that your maintenance technicians can easily see if you have the right parts in stock before performing the work. Additionally, you can view how many parts were used within a given time, how many you may need in the upcoming year, and much more.

Q: How does a CMMS help with Reporting?
A: One of the most powerful aspects of a CMMS is putting your data to work for you. Now that everything is being tracked, you can pull reports that answer questions you were never able to answer before. Is the right maintenance work being done? What asset is costing me the most? Where is my maintenance team's time being spent? Is maintenance work done on time? What asset is breaking down the most? Which of my maintenance team members is performing best? CMMS reports allow you to answer all of these questions and more.

Q: Where can a CMMS be installed?
A: CMMS systems can be installed either as an on-premise solution or as a cloud or SaaS-based solution. On-premise installations require you to install the software at your office on your servers. They are maintained by your IT staff, and often require a large setup fee and ongoing server maintenance costs. Cloud or SaaS-based solutions are set up on your CMMS vendor's systems and do not require you to configure servers or perform server maintenance. A good CMMS vendor will have advanced security and storage features, including frequent data backups. Both types of installations have pros and cons, and it is best to talk with a CMMS specialist to see what best fits your needs and budget.

Q: How long does a CMMS implementation take?
A: This can widely vary based on many factors. How large is your business? How many features or modules are you trying to implement? Do you have team buy-in not only from your maintenance team, but from other managers? How difficult to use is the CMMS software you are choosing? How much time can you put into the implementation? Answering these questions should give you a better understanding of the time a CMMS implementation will take. At Limble CMMS, our average customer is set up within minutes and successfully implemented within a matter of weeks.

Q: How often is CMMS software updated?
A: This will depend on the type of installation you choose. Cloud or SaaS-based CMMS software is often updated on a daily basis with no hassle on your part. On-premise updates involve you or your IT team and are often updated anywhere from every 3 months to once a year.

Q: Where is the CMMS data stored?
A: This also depends on the type of installation you choose. Cloud or SaaS-based CMMS software will have the data stored on the CMMS software provider's servers. On-premise will store the CMMS data on your server at your location.

Q: What industries benefit from a CMMS system?
A: Many industries can benefit from a CMMS, including Manufacturing, Facilities, Equipment, Building, Property, Hospitality, Restaurants, Churches, Fleet, School, Government, Gyms, Golf and more. If you work in an industry with valuable assets that need maintenance, a CMMS software could be beneficial to you.

Q: Does CMMS software work for small businesses as well as large corporations?
A: Although the implementations may be a little longer for larger companies, CMMS software is designed to work well for both small businesses and large corporations.

Q: What is the difference between a CMMS software and Facility Management software?
A: CMMS and FM software often mean the same thing, although some FM software packages have non-maintenance modules included. For example, FM software may have a space management module that a CMMS software package might not. Be careful on FM software or CMMS software that tries to do too much. Finding the right CMMS software is one of the key factors in a successful implementation.

HOW DOES LIMBLE HELP YOU?

\"\"

HOW EXACTLY DOES LIMBLE ACCOMPLISH THAT?

EFFICIENCY, EFFICIENCY, EFFICIENCY

From day one, we realized we have the potential to make a real difference.

We realized that every time someone uses one of our features, it is an opportunity for Limble to save our customers time. Even improvements that only shave 10 seconds off a task will add up over time. Our approach of constantly improving feature impact and optimizing feature speed has helped each of our customers save thousands of hours as their team uses Limble.

To put this to the test, some of our customers measured their work output before and after implementing Limble. They have all reported a work output increase of at least 20%.

Saves Time for Managers

Communication and Coordination - No need to call, email, or text. Many managers spend a significant portion of their day assigning tasks and following up on them. With Limble, all of the work assignments for a facility can be either automated or automatically sent to the manager to divvy out to the team. All a manager has to do to make an assignment is drag the task under the name of the team member.

Reporting - An important job of a manager is to assess the performance of the maintenance program and report results to other departments or executives. With Limble, a report format only needs to be created once, and it will automatically be updated and generated. No more creating spreadsheets, lists, and digging through paperwork.

Saves Time for Technicians

Paperwork - Paperwork is often considered a necessary evil in the maintenance world. With Limble, it can be completely eliminated. Inputting data for a task in Limble App is faster and easier than filling out a sheet of paper. On average, Limble saves a technician 40 minutes of paperwork each day.

Mobile App - The Limble mobile app is a powerful time-saving tool. It allows a technician to go from one job to the next without having to return to a specific location, such as his boss’s desk. Technicians will receive additional assignments and priorities in real time. This reduces, and can even eliminate, the need for calls, texts, or emails. The app also allows a technician to have access to a full maintenance history, as well as the documents associated with each Asset. For example, he/she can quickly see how problems were resolved in the past, review a list of needed tools or read the important information in an owner’s manual. Knowledge is power, and the knowledge that Limble offers empowers technicians with the information they need to do their work more efficiently.

FROM REACTIVE TO PREVENTIVE

Repair Cost

Many people learn the hard way that if you do not regularly add motor oil to a vehicle, eventually the engine will seize, and it will need to be replaced. Replacing an engine costs about $6,000 ($1,200 in labor and $4,800 for the motor), while regularly adding oil to an engine costs around $7 a month. In this example, Reactive Maintenance would be waiting for the engine to seize before taking action, while Preventive Maintenance would be adding oil to prevent a breakdown. It is easy to see how Preventive Maintenance can greatly reduce labor and part costs. The difficult part about changing from a Reactive Maintenance Program to a Preventive Maintenance Program is that it requires constant scheduling, planning and organizing. Limble automates all three of these activities. Limble makes it easy to create and maintain a Preventive Maintenance Program.

Downtime

Downtime is when the processes of a business that make money are halted. In manufacturing, it is when a part of or all of a production line is stopped. Downtime is often the result of a malfunction or equipment failure, which can be mitigated with the proper preventive maintenance activities. An hour of downtime can be very expensive for a company because it results in lost labor (affected workers and maintenance technicians), lost production value, and overhead. An hour of downtime can easily cost tens or even hundreds of thousands of dollars.

SPARE PARTS INVENTORY

Limble greatly improves how inventories are managed. On average, customers reduce their inventory spend by 17% when using the Limble inventory management features.

The two greatest forms of inventory waste are having too much inventory and running out of inventory. Purchasing too much inventory ties up cash and clutters your storage area. To make matters worse, this has a snow ball effect; people are more likely to purchase supplies before checking current inventory when there is clutter. The problem with running out of inventory is that obtaining more becomes an immediate need. In order to prevent equipment downtime it will be necessary to pay an employee to make an emergency trip to a supplier, pay priority shipping, or purchase from a more expensive vendor.

Limble allows parts inventories to be managed automatically. Everyone will be able to easily check current inventory levels before purchasing more supplies. Each time a part is used in a task, one is subtracted from inventory. A minimum part threshold can be set so when the inventory falls below that number, a notification will be sent to the manager that additional parts need to be purchased. Limble makes it easy to optimize inventory levels.

WHAT SETS LIMBLE APART FROM THE COMPETITION

There are many reasons why Limble wins accounts when compared to other software. The top three reasons are that Limble is the easiest CMMS to implement and use — resulting in the quickest to a return on investment (ROI), it has the most powerful and flexible reporting functions and it has the most in-depth functionality at the best value.

EASIEST TO USE - QUICKEST TO A ROI

All companies say they have an easy-to-use software. But how do you measure that? There are no "easy units." One way is to talk to people who use the software.

Limble interviewed a user by the name of Eloy. He is a self-proclaimed "older guy" and he explained that he is pretty resistant to change. However, the first day that he started using Limble, he realized that it would be easy and helpful. After that, he fully supported using the new software. (Click here to watch the interview)

REAL TIME FLEXIBLE BUSINESS INTELLIGENCE

A good CMMS should be a business intelligence tool. That is only possible if the software provides accurate and easy-to-find data. Limble makes it easy to measure and improve the performance of your facility. The software is flexible and allows for reports to be customized and automatically created.

THE MOST IN-DEPTH FUNCTIONALITY FOR THE BEST VALUE

Limble is the most modern CMMS software. This is apparent not only by the world-class power of the features we offer, but also in its cost structure. The only cost to running Limble is a simple monthly fee. There are no contracts, set-up fees, or training costs. Limble offers unlimited support via call, email, and chat.

The goal is that every customer is completely satisfied with the service and software each day.
